What it costs you today
In a typical 600-employee organization the annual Microsoft 365 invoice exceeds USD 480,000 and IT cannot answer with data which licenses are used, which are assigned to ex-employees and where there is duplication. A recent typical audit finds 18% to 24% of licenses inactive or underused: accounts with more than 90 days since last logon, ex-employees whose license was never revoked, E5 assignments to profiles that only need E1. The fight with procurement at every renewal is political, not technical: decisions made with the prior year spreadsheet. The CFO pushes for savings but there is no evidence; the CISO pushes for E5 Everywhere but there is no track of real consumption. "We have 240 E5 and 84 were not used in 90 days" is the most common finding in workshops. How much margin are we sitting on before the next renewal?
What changes when you have it
On day one the script exports an Excel with real usage of every license over the last 30, 60 and 90 days, grouped by SKU, department and user, with actionable recommendations: reassign, downgrade, deactivate. The IT director and the procurement lead receive the same file, negotiating the next renewal from evidence. The owner is finance, which now projects M365 spend with live data. The visible output is a formatted Excel with per-user heatmap charts and executive summary. A 1,400-employee services client recovered 217 E5 and 312 E3 licenses in the first sweep, equivalent to USD 312,000 per year. The investment pays back in a single license harvest, typically 30 to 45 days.
