In a 1,200-employee firm with 18 formal policies spanning information security, conflicts of interest, data protection and acceptable use, the manual is scattered across 15 PDFs sent in different email campaigns, none with versioning or formal acknowledgement, and legal cannot prove an employee read the information-security policy when there is a data-leak incident. All 18 policies live in a central SharePoint with sensitivity labels, automatic versioning and 7-year retention configurable per document type. When a new version or a new policy is published, Power Automate fires the notification to the employee, requires them to read the document end-to-end and digitally sign it with a timestamp, and the immutable record is stored in Dataverse with IP and device. The legal team watches a real-time dashboard with completion percentage by policy, area and country, and exports signed evidence for external audits in a single click. The solution is in production at a regulated financial entity with 3,500 employees where sustained compliance is above 98%. The investment pays back with the first avoided fine and stays as the compliance baseline.
