The pain

What it costs you today

In a 1,500-employee industrial plant running 2,300 critical assets, maintenance incidents arrive by WhatsApp, radio, a phone call to the plant manager or an email lost in the inbox noise, and end up documented in an Excel at 6 pm on Friday, or worse, never documented at all. The maintenance supervisor loses 8 to 14 hours per week consolidating reports by hand, while MTTR stretches to 36 hours because priorities are assigned by gut feel rather than by criticality or asset history. An undocumented failure on a critical line triggers 6 to 10 hours of downtime that bills between USD 4,000 and USD 9,000 per hour, and the insurer's annual inspection asks for the last 24 months of history and the file is empty. "We have assets that have not had service in months and nobody knows which ones" is the recurring complaint in plants without digital traceability. The operator scans the QR sticker on the equipment with the phone camera, completes the form with the before-photo in under 90 seconds, and the Canvas app assigns an available technician by criticality, SLA and current workload. Power Automate notifies the supervisor on Teams, escalates to external maintenance at the 4-hour mark and registers the closure with the after-photo and the operator's digital signature, leaving a complete history in Dataverse. The operation leaves the Excel and the WhatsApp group for a Dataverse dashboard with MTTR, MTTF, backlog by equipment, line availability and recurrence ranking, surfaced in Power BI for management. The solution is in production at a 2,300-asset manufacturing site in Medellin with 1,500 operators where MTTR fell 38% in one quarter and backlog dropped from three weeks to four days. The project pays back in under four months through avoided downtime and supervisor hours reclaimed.
