The pain

What it costs you today

In an 800-employee headquarters with 25 meeting rooms spread across 4 floors, Outlook says the room is booked on the calendar but when you arrive a team of 8 is sitting in it "because it was more comfortable", and you end up walking 3 floors looking for a free room that does not exist, with a real no-show rate above 40% that wastes 60 to 90 room-hours per week, the equivalent of 1.5 rooms paying rent and electricity with no real use. Employees lose 15 minutes on average per meeting looking for somewhere to sit, which adds up to around 200 person-hours a month stolen from billable work, and the facilities team has no real utilisation data to decide with evidence whether to renew, downsize or renegotiate the lease in next year's annual review. "Room Lima is booked and empty, room Bogota is full" is the recurring joke on the 12th floor every morning. How much are we overpaying in rent, energy and maintenance for rooms we book and nobody uses, and how many footprint decisions are we making blind because we lack telemetry?

What changes when you have it

The booking enters directly from the Teams calendar with real-time availability recognition over Exchange, and 5 minutes before the start the 10-inch physical panel installed on each room door shows the meeting name, time, organiser and a glowing check-in button. If nobody confirms presence within 10 minutes of the start, Power Automate frees the room automatically, marks it as walk-in available and notifies the organiser on Teams. The facilities team accesses a Dataverse and Power BI dashboard with no-show rate, most-used room, peak hour, utilisation per square metre and demand projection by site, which feeds next year's footprint decision with real evidence. The visible output is the Canvas app embedded in Teams plus the physical panels installed on every door for employees and management. The solution is in production at an insurer with 22 rooms across 3 floors where effective utilisation rose from 38% to 71% and no-shows fell 62% in the first quarter. The investment pays back in under six months through released rent and energy savings.
