Visitor registration and traceability at reception

App on reception tablet: visitor arrives, scans ID or QR, photo, who they visit, and a badge is printed. Full traceability for compliance.

The pain

What it costs you today

In a 600-employee corporate site receiving 30 to 80 visitors a day across contractors, suppliers and interviews, the visitor signs a paper log that lives in a binder at reception and is never reviewed again, and when there is a security incident or a contact-tracing request nobody knows who was on the 12th floor last Thursday at 3 pm. The physical security team loses 5 to 8 hours per incident pulling camera footage and manually cross-checking paper records against the names in the corridors, and the paper binder is not accepted as evidence for an ISO 27001 audit or an emergency-services request. A recent evacuation drill left 18 minutes of uncertainty because the team could not confirm whether a visit had left the building. "If we had to evacuate the tower right now we would not know how many people are inside" is the line the head of physical security repeats at every HSE committee. What does it cost to run a 14-floor tower without digital traceability of who enters, who they visit and when they leave?

The value

What changes when you have it

The reception tablet opens the Canvas app with a single tap, scans the ID document or QR with the camera, takes the visitor photo, identifies the host by corporate email and prints the PVC badge in under 25 seconds. Power Automate notifies the host on Teams with a deep link, records entry and expected exit times, and blocks visitors on restriction lists with an alert to the security guard on shift. The security team accesses a Dataverse dashboard with traceability by floor, date, supplier and visit duration, and exports audit evidence in a single click with an immutable timestamp. The visible output is the Canvas app on the tablet plus the Dataverse dashboard for the SOC plus the Teams notification flow. The solution is in production at a 3-building corporate tower processing 1,800 visits a month with zero search time during the last simulated evacuation. The investment pays back in under six months through released security hours and demonstrable compliance.
