All 18 policies live in a central SharePoint with sensitivity labels, automatic versioning and 7-year retention configurable per document type. When a new version or a new policy is published, Power Automate fires the notification to the employee, requires them to read the document end-to-end and digitally sign it with a timestamp, and the immutable record is stored in Dataverse with IP and device. The legal team watches a real-time dashboard with completion percentage by policy, area and country, and exports signed evidence for external audits in a single click. The solution is in production at a regulated financial entity with 3,500 employees where sustained compliance is above 98%. The investment pays back with the first avoided fine and stays as the compliance baseline.
