#24 Document QA

Document QA system with checklists and approvals

Every important document (procedure, policy, instruction) goes through a review workflow with checklist and electronic signature before publication.

Implementation: 6-8 weeks 5 technologies
The pain

What it costs you today

In a firm with 400 formal procedures, instructions and policies, the approval cycle travels by email: the author sends to 4 reviewers, each one asks for changes in their own copy, the team consolidates by hand and publishes a Word in a SharePoint folder that coexists with the old version. The ISO 9001 external audit detects the problem in 5 minutes when it asks "show me the current version of procedure P-027 with its last approval date", and the quality team cannot answer with certainty which of the three copies is official. The team loses 30 to 40 hours a month consolidating comments, and traceability of who approved what is practically impossible to reconstruct. How much non-conformity risk are we paying for not having version control?

The value

What changes when you have it

The document enters a SharePoint list with metadata on type, area and validity, and the workflow automatically assigns the reviewers against a configurable checklist with SLA per role. Each reviewer comments directly on the paragraph from a custom SPFx web part, and once the approvals close the document is published with an automatic next-review date and an obsolescence alert at 11 months. Power Automate pings inactive reviewers and the full history lands in Dataverse with per-user audit. The visible output is a quality portal in SharePoint with current-procedure search plus a documentation-coverage dashboard. The solution is in production at a regulated pharmaceutical firm where the last ISO 9001 audit closed without observations. The investment pays back with the first observation avoided.
